DEVONthink has powerful information organization and management functions. And both professionals and home Mac users can find their methods to manage personal information, including pdf documents, pictures, short videos, web page archiving, clipboard text, web page links, and even MP3 song albums. DEVONthink To Go 3.0.6. Today’s maintenance update for DEVONthink To Go 3.0 lets you open databases and smart groups in a new window on iPad. It also improves clipping to Markdown, makes verifying and repairing databases smarter, and brings important bug fixes. What Was New in Version 1.2. Version 1.2 was the second quarterly update of this book. It covered changes in DEVONthink 3.0.4 and 3.5, including the following. DEVONthink is open, use and reuse your documents anywhere. Add your document link to all applications that can obtain the URL, such as OmniFocus or Apple Mail, or export your document in the original file format.Allow your colleagues to access through the built-in Web interface (Service version only). I emailed the developers of DEVONthink and they said they don’t see a point in developing DEVONthink for either Linux or Windows platforms, which is very disappointing. To date, I have found similar software but none that are “easy to learn”, “aesthetically pleasing”, or still actively developed. To be honest, I really like the concept of Water-Ship Planner but I don’t think it’s maintained and is arguably priced too high. I am not opposed to spending money but one needs to be able to trust in the developers that the product will live on. All 32 products listed are great and have tried but in my opinion are not as clean cut and streamlined like DEVONThink.

Has anyone come across a viable alternative to DEVONThink for Linux and/or Windows?

What specific functions from DEVONthink are you looking to replicate on Windows/Linux? The Pro version offers so many disparate features, from bookmarking to document/mail archiving to pdf import/reading, to scanning/OCR, to note & document creation. The first step is clearly articulating what are you looking for… and what are you willing to forgo.

There are lots of alternatives that work on Windows/web to do many of the same things, albeit in different ways. Alternatives include Evernote Premium, MyInfo, ZenKit, or one of the many, many Wiki systems. Features vary, and prices range from free to $100/yr. Some of those offer web access/sync, but the DEVONthink iOS app has become a pretty nifty partner to the Mac app that most Windows alternatives can’t quite duplicate.

As-new refurb Macbooks (with 1-yr warranty) start at Apple.com at $1100 (and little desktop Mac minis for $420, if you have your own monitor/keyboard/mouse), so if the software is sufficiently (in)valuable to you, the hardware cost could be reasonably factored in… especially if there’s no Windows alternative you like ... and more so if the option is something like Evernote/ZenKit at 80-$100/year.

There isn’t, unfortunately—I wish there was. One app that’s not on your list that is “kind of” close to DevonThink is Lucion’s FileCenter Professional. You might want to look at it—if you don’t use the automated document classification features of DevonThink, then it might meet your needs. But for me the ability to intelligently classify to multiple locations in an existing taxonomy is kind of the main reason to DevonThink is useful.

Another option is to keep an old Mac around in a closet to host DevonThink and then access it from Windows or Linux through DevonThink Pro’s web interface. It does a pretty good job of simulating the native interface.

Another alternative you might consider is Zotero. It’s billed as an academic reference manager, but it allows much the same style of organization as DevonThink, including both one-to-many logical topic hierarchies and document-specific tags. (As a bonus, version 4 also can sometimes be installed on locked-down corporate networks if your IT admin has greenlit some old versions of Firefox.) It also supports children of documents, which DevonThink doesn’t. However, still no automatic classification.

Just over a year ago now, I created a series of posts that highlighted how I use a quite wonderful product called DEVONthink Pro Office. I use DEVONthink Pro Office as my paperless office solution and over the last twelve months, my workflows have matured, reaching the stage now whereby I feel as though I need to provide you with some updates. In fact, I'm so into the application at the moment, I'm going to re-write the articles from scratch!

It's going to take a while because DEVONthink Pro Office is such a huge application. However, I'm using this as an opportunity to refresh my memory as to some of the functions that I don't find myself leveraging as much as I could do. For example, one thing that sets DEVONthink Pro Office above it's competitors is the amazing AI engine that allows you to have your files automatically classified and filed. I don't use that too much, namely because I utilise tags far more than I use folders. Also, there are some great Search parameters that can be used, which I don't feel I need to that much currently. Yet as my databases mature, this will change, however my use of the application has definitely reached a maturity now that justifies a re-write so I hope you enjoy.

What is DEVONthink?

DEVONthink is essentially a database for tagging and tracking all kinds of information. The whole point of DEVONthink's existence is to make it as easy as possible for you to be able to store and retrieve any information. No longer do you need to store Office files, PDFs or bookmarks in separate applications - simply keep them all in DEVONthink.

I used to struggle with knowing exactly what to use DEVONthink for as opposed to a different application, such as Evernote. My rule of thumb became simple. If the file or note that I am creating would ordinarily be stored in some form of physical filing cabinet or folder, then I'm going to keep it in DEVONthink. If it's related to a much larger project, then that's going straight into DEVONthink. If it's a one-off note about something which is not going to need to be referred to long-term and has a very short shelf-life, then it's one for Evernote. (In fact, as I write this, I'm now dropping Evernote in favour of a plain-text note taking system using nvAlt and indexing with DEVONthink, yet I need to take some time to write this up properly for you)

DEVONthink comes in four flavours - DEVONthink Pro Office, DEVONthink Pro, DEVONthink Personal and DEVONthink To GO and, as you would expect, they come with differing levels of functionality. Note - DEVONthink To Go is a mobile application, used on iOS to capture information on the move, ready to sync with it's OS X parent.

As you can see, if finances permit, DEVONthink Pro Office is definitely the way to go, not least because of it's ability to be able to offer OCR and ScanSnapsupport off the shelf, which is probably going to form the cornerstone of any paperless workflow you have. That's not to say you have to go down that route though. If the amount of paper you find yourself scanning is negligible, then using a mobile application such as PDFpen Scan+, which supports OCR as well as exporting to a cloud service, could very well be a more economical solution for you.

My workflows will all centre around DEVONthink Pro Office as that is the product I use day to day. I use it at work, with databases setup for different projects I am currently working on. Each client has their own database. In fact, one particular client at the moment has multiple databases because I am working on multiple projects with them! I take this approach because I like to have the option of being able to mark a project as complete by archiving the database away when the time comes to close. If I need to refer to it, I can open it from it's archived location, yet it's not using up storage space on my working machine.

I also use DEVONthink Pro Office for all of my home filing needs. Utility bills, instruction manuals, order confirmations, warranty information, medical history, holiday information - you name it, it goes into DEVONthink Pro Office. There is very little in my life that I am unable to retrieve with a simple search.
